3. Guidelines for Preparing Presentation Files

To prevent errors with the on-site projectors and PCs, please follow the guidelines below.

1Font errors — embed fonts in your file

  • Embed any non-default Windows fonts; otherwise text may break or be replaced on the venue computer.
  • In PowerPoint: [File] > [Options] > [Save] > select ‘Embed fonts in the file’, then save.
  • If a special font cannot be embedded, also submit the font file (.ttf / .otf).

2Video playback errors — submit the original video files

  • Use MP4 or AVI format where possible, and also submit the original video files in case a video does not play within the presentation.

3Multiple files — compress into a single ZIP file

  • If submitting font or video files with your presentation, compress everything into one ZIP file (same naming rule, e.g., AHT_038_HongGil-dong.zip) and upload only that file.
  • A single PPTX or PDF file can be uploaded as is — no compression needed.

4Revisions after the deadline

  • Bring the revised file on a personal USB drive and upload it yourself at the Preview Room before your session — including any font files and original videos used in the revised version.

5Presentation-room laptops — Windows 11

  • Presentation-room laptops run Windows 11. Files created on macOS (e.g., Keynote) must be converted to PDF before submission.

6Personal laptops cannot be connected

  • All presentations are given on the laptops provided in the rooms; personal laptops cannot be connected.
